AI Automation

AI workflow automation and agent implementation

AI workflow automation and AI agents connect document reading, data classification, task assignment and transfers between systems into manageable workflows. Vosurein first clarifies rules, exceptions and execution permissions, then assesses which steps should use AI and plans human review, failure handling and operational handover.

For Your Business

Who this service is for and when to start

Businesses that repeatedly enter data across systems, compile documents for approval or assign tasks based on case content can assess automation first. Good starting points have identifiable inputs, processing steps, completion states and responsible staff.

Before increasing document volumes, introducing a new system or handing work to another person, document the current rules. If each case is handled differently, identify which variations follow clear conditions and which require human judgment. Adding AI tools alone cannot resolve an undefined process.

The Challenge

Common challenges faced by businesses

Documented processes often cover only normal operations, leaving out returned submissions, incomplete data, duplicates and system outages. Once automated, these exceptions can cause duplicate notifications, duplicate records or unattended tasks.

Recognising a document does not establish that its business content is correct. Extracted numbers still require checks of currencies, dates, field mappings and calculations. Test representative company documents with different formats and quality levels; tool demonstrations alone are not evidence of performance on your data.

Once the agent can use the tool, its scope of influence extends to the connected system. If the account has excessive privileges, tasks that originally only need to read data may also have the ability to modify or delete data. Therefore, the scope of execution should be clearly stated before integration.

Our Approach

Methods and applicable requirements

Distinguish between fixed processes and AI Agents

Fixed workflows follow predefined steps and conditions. AI agents can select the next step and use tools dynamically according to the task. Businesses can combine both approaches, choosing based on workflow rules, variations in content and the permissions they can grant.

Use predefined workflows for checks, file conversion or notifications with clear rules. Assess AI for steps that require understanding content or choosing what to do next. Define completion criteria, permitted tools and a way to stop each task, so retries do not continue without a usable result.

Enforce permissions in the tools and systems

Tools with more capabilities, permissions or autonomy than a task needs can magnify errors. We define read and write permissions for each task and require explicit approval for high-impact actions such as payments, deletions and public releases. Enforce these controls in the tool or business system; prompt instructions alone are insufficient.

Before integration, confirm the data flow allowances, available interfaces, and access restrictions for each system, and check whether data exchange between different tools complies with enterprise standards. The chosen plan is determined based on the existing environment and actual testing.

Process

Consulting scope and process

  1. Review workflows and exceptions

Identify triggers, input documents, processing steps, approvers and completion states. Collect examples of incomplete, duplicate and returned submissions, then decide which can be handled automatically and which need a person to take over.

  2. Task and permission design

Choose which steps use predefined workflows or agents, then plan data checks, tool read and write permissions, and human review. Define the account used to run tasks, allowed actions, timeouts and stop conditions, and check the connected systems' restrictions.

  3. Setup and scenario testing

Connect document processing, notifications or business interfaces within the agreed scope. Test fields, states and records with normal and exceptional data. Check that duplicate processing is prevented when triggers repeat, permissions are insufficient or execution fails partway through.

  4. Trial implementation and maintenance handover

Run a limited pilot and check the business results and human review workload. Hand over operating instructions, failure handling and change procedures. Assign responsibility for testing and maintenance when the platform or document formats change.

Preparation

What documents do companies need to prepare?

  • Process and Exceptions: Operation steps, trigger conditions, approval rules, and reasons for rejection.
  • Documents and Fields: Authorized representative samples, required fields, format differences, and verification rules.
  • System and Permissions: Integration interfaces, available test environments, read and write permissions, and responsible contacts.
  • Acceptance and Maintenance: Processing volume, completion conditions, manual review personnel, and handling of abnormalities.

Project Planning

Estimating time and cost

Timing depends mainly on workflow branches, document types, connected systems and exception handling. Using available APIs and a complete test environment involves a different workload from operating a legacy system through its screens. Tasks that write production data also need time for validation and the transition to live use.

Confirm consulting, workflow implementation, third-party licences, model and document-recognition usage, and ongoing maintenance costs separately. A pilot can start with one document type or part of a workflow. Decide whether to expand based on successfully processed cases, manual corrections and reasons for failure.

FAQ

Frequently asked questions

Is it absolutely necessary to use an AI Agent?

Not necessarily. When steps and conditions are clear, a fixed process can be used first. When dynamic tool selection or differences in processing content are needed, then compare the necessity and control costs of using an Agent; the two can also be combined.

Can we start without a complete SOP?

You can first organize the actual practices. Before moving to automated execution, you still need to confirm trigger conditions, completion status, and responsible persons for exceptions. Ambiguous judgments should still be handled by personnel.

Can OCR recognition results be directly written into the system?

It is not advisable to write in solely based on recognition success. Field formats, required data, and business relationships should be checked, and representative documents tested. Data that is uncertain or does not conform to rules can first be returned for review; writing actions should be confirmed separately for authorization.

Can automation be done even if the system does not have an API?

File exchange or screen operations can be considered, but it is necessary to confirm the system's allowed methods and technical limitations. Screen redesigns, login verification, or operational delays may affect stability, so testing and maintenance requirements should be estimated together.

How to avoid duplicate entries or duplicate notifications?

We assess unique identifiers, state records and retry handling for the workflow, then test reruns after interruptions. The approach must work with the connected system; duplicate detection cannot depend on AI judgment alone.

Can AI approve payments or delete data on its own?

This service recommends setting such high-impact actions with explicit authorization and human checkpoints. The model can organize tasks, but whether to execute should be determined by agreed responsibilities and system control.

How should we verify automation results?

Use pre-agreed documents, normal and exceptional cases, and check outputs and final business status. In addition to processing time, field accuracy, amount of manual corrections, failure recovery, and operation logs should also be evaluated.

What costs are included in subsequent maintenance?

Platform fees, usage fees, fault handling, format adjustments, and function modifications need to be agreed upon item by item. Completion of the initial setup does not mean permanent maintenance; during handover, support contacts and change handling procedures should be confirmed.
