Manufacturing, service, and contracting enterprises can start implementation when customers require quality management proof, delivery quality is unstable, or orders or sites increase. Enterprises with existing certificates that are about to expire or are preparing to integrate other management systems should first confirm the adopted version and system gaps, then arrange changes.

Sales, operations and quality staff should agree on the scope together. If only the quality assurance department prepares the documents, order terms, design changes and supplier deliveries may remain disconnected.

Inspection forms alone do not show that a process is under control. ISO 9001:2026 was published on 16 September 2026, replacing ISO 9001:2015 and its 2024 amendment. ISO 9001 specifies quality management system requirements for organisations of different sizes and sectors. The scope should reflect actual products, services and delivery processes. System certification does not mean that every product has undergone third-party inspection. Organisations with existing certificates should confirm transition arrangements with their certification body.

Processes and Risks

Guidance involves organizing process inputs, outputs, handovers, and responsibilities from order receipt to delivery, identifying steps that may cause nonconformities, and then determining control and verification methods. For example, when customer specifications change, updates in design, procurement, operation, and acceptance must be confirmed simultaneously.

Product and Service Delivery

Review design, external supply, production or service provision, and release evidence according to applicable activities. Outsourcing does not remove the organization’s responsibility for delivery; it is necessary to first clarify what the supplier provides, how the company confirms it, and who handles nonconformities.

Customer Complaints and Improvement

Use nonconformities, customer complaints, process indicators and audit findings to track improvements. Distinguish immediate corrections from actions to prevent recurrence, and check the results. Management reviews can then set priorities and allocate resources based on the problems found.

    Interview the staff responsible for orders, operations and quality assurance. Define the product and service scope and customer requirements, and review existing procedures and key gaps.

    Jointly establish process responsibilities, quality objectives, supplier and change management methods, so that form fields correspond to actual decisions.

  3. Pilot and Record Retention

    Pilot with actual orders or service cases, check whether specification transmission, acceptance, anomalies, and improvement evidence are coherent.

  4. Audits and Management Review

    Help prepare internal audits and management reviews, track unresolved issues and assess readiness for certification within the agreed scope.

  • Organization and Processes: Products and services, locations, departmental responsibilities, and processes from order receipt to delivery.
  • Customers and Suppliers: Contract specifications, procurement conditions, supplier evaluation, and delivery records.
  • Quality and Measurement: Inspection methods, equipment list, calibration, and quality indicator data.
  • Abnormalities and Improvements: Customer complaints, nonconformities, root cause analysis, corrective actions, and existing audit records.

For an initial discussion, provide a summary or de-identified sample. Share full records under the agreed scope, access permissions and confidentiality arrangements. Check whether existing records are still valid before filling gaps; there is no assumption that every document must be rewritten.

Project Planning

Estimating time and cost

Time and fees depend on the types of products and services, process complexity, extent of outsourcing, number of sites and completeness of operational records. A new system needs time for operation and improvement. For an existing system, a gap assessment identifies work that can be reused so it is not charged for again.

Each project specifies the number of on-site interviews, document revisions, training sessions, internal-audit support activities and improvement reviews, together with responsibilities. Third-party certification, specialist testing, engineering and legal services are not included in consulting fees by default. Confirm transition schedules for existing certificates with the certification body.

FAQ

Frequently asked questions

Are ISO 9000 and ISO 9001 the same?

No. ISO 9000 covers fundamentals and vocabulary. This service addresses ISO 9001, which sets quality management system requirements. The two names are not interchangeable.

Should we adopt the 2015 version or the new 2026 version now?

ISO 9001:2026 has been published. Organisations implementing the standard or preparing to transition can assess their systems against the new edition. Those with ISO 9001:2015 certificates should confirm the applicable transition deadline, audit arrangements and customer requirements with their certification body. Publication does not invalidate all existing certificates on that date or establish a single transition deadline.

Can the service industry also implement ISO 9001?

Yes. Service requirements confirmation, delivery, acceptance, and customer complaints can also be managed. Implementation methods should fit the service type, without directly copying factory inspection forms.

Do all processes need to be written into thick operation manuals?

Documents should be sufficient to support process execution and provide necessary evidence. Guidance will determine the form based on work complexity, personnel capability, and risk, rather than using document page count as a measure of quality system maturity.

Does the 2024 climate amendment mean we have to do a carbon inventory?

Not directly. The amendment involves considering organizational context and relevant stakeholder requirements, and whether a carbon inventory is needed still depends on actual applicable requirements and risk assessment.

Does completing consulting guarantee a certificate?
