ISO 30401

ISO 30401 knowledge management consulting

ISO 30401 consulting helps organisations transfer, use and update critical knowledge when key people leave, teams share experience or knowledge is at risk of being lost. Vosurein reviews the scope, processes and evidence, then helps assign responsibilities, implement the system and review it internally.

For Your Business

Who this service is for and when to start

Start by examining how knowledge is acquired, shared and used when key people change roles, teams need to collaborate or new staff take too long to become proficient. If a knowledge platform does not provide reliable answers, define who reviews and updates its content.

The management scope can start with knowledge areas that have a significant impact on operations, such as maintenance experience, customer projects, or product technology, and gradually extend to other units.

The Challenge

Common challenges faced by businesses

Not all knowledge is documented. When practical judgement rests with a few people, handing over files alone can leave their successors unable to handle exceptions.

Increasing the number of platform articles does not necessarily improve work. If the applicable context, updater, and user feedback are not confirmed, employees may continue to rely on private inquiries, and outdated information will still be repeatedly referenced.

Our Approach

Methods and applicable requirements

ISO 30401:2018 including Amd 1:2022 and Amd 2:2024 provides requirements and guidelines for knowledge management systems. The next version DIS is still under development. The system can be applied to various organizations, focusing on the effective operation of knowledge management, without treating a specific knowledge platform, AI, or RAG as a necessary product.

Critical knowledge and loss risk

We identify the knowledge needed for work, who holds it and who uses it. Separate what can be documented from what needs demonstration or practice. Prioritise gaps that affect delivery or judgement rather than collecting everything.

Knowledge transfer and shared learning

Arrange appropriate handovers, case reviews, practical demonstrations, and collaboration methods. For recurring problems, ensure that experience can be applied to the next work and retain the necessary context and applicable limitations.

Maintenance and usage effectiveness

Set responsibilities for content review and updating, and track effectiveness based on actual retrieval and usage issues. Observe handover quality or problem-solving situations as needed, not just using the number of articles or clicks as results.

Process

Consulting scope and process

  1. Identify knowledge needs

Confirm priority business and critical knowledge areas, and take stock of holders, data, and loss risks.

  2. Plan knowledge transfer methods

Plan handovers, case organization, and collaborative learning according to the characteristics of knowledge, confirming responsibilities and usage contexts.

  3. Pilot updates and feedback

Select actual work to verify whether knowledge is usable, collect user feedback, and revise content.

  4. Review management effectiveness

Review knowledge gaps, the quality of updates and evidence of improvement to support internal audits and management review.

Preparation

What documents do companies need to prepare?

  • Business and knowledge: Priority work, key competencies, and frequently asked questions.
  • Knowledge holders and handovers: Role division, handover methods, and risks of personnel changes.
  • Content and tools: Knowledge data, platforms, classifications, and access methods.
  • Feedback and results: Case reviews, usage issues, and improvement records.

For an initial discussion, provide a summary or de-identified sample. Share full records under the agreed scope, access permissions and confidentiality arrangements. Check whether existing records are still valid before filling gaps; there is no assumption that every document must be rewritten.

Project Planning

Estimating time and cost

Work is estimated from the knowledge domains, number of interviewees, how well tacit experience has been captured and the quality of existing content. Large-scale editing, platform procurement and AI retrieval development need separate scopes.

Each project specifies the number of on-site interviews, document revisions, training sessions, internal-audit support activities and improvement reviews, together with responsibilities. Third-party certification, specialist testing, engineering and legal services are not included in consulting fees by default. Confirm transition schedules for existing certificates with the certification body.

FAQ

Frequently asked questions

Is knowledge management equivalent to RAG implementation?

No. Knowledge management covers how knowledge is created, transferred and used, and who is responsible. RAG is an optional retrieval tool; access permissions and answer quality require their own checks.

Is knowledge management only suitable for R&D departments?

No. Maintenance, customer service, project management, and on-site operations may all rely on critical knowledge, so the scope should be chosen according to organizational needs.

Does having more documents mean better knowledge management?

Volume alone is insufficient. Content must be reliable, relevant, findable and usable. Duplicates and outdated material can make decisions harder.

How can we transfer experience that is difficult to document?

Depending on the nature of the work, you can adopt practical exercises, mentor-apprentice handovers, or case discussions, then organize necessary judgment criteria. Not all knowledge is suitable for long-form documents.

How to evaluate the effectiveness of implementation?

Define the work problem first, then check whether handovers, information use and problem resolution improve. Choose indicators with available data that reflect the actual use of knowledge.

Does completing consulting guarantee a certificate?

No certificate is issued automatically. Vosurein helps establish and pilot the system and review evidence. An independent third party assesses and issues certificates under its applicable scheme. Before applying, check the certification scope, accreditation status and customer acceptance. We do not guarantee certification or fabricate records.
